What a flat-rate price has to cover
A flat rate is built from the fully loaded cost of the visit, not from the technician's wage. The gap between the two is where trades businesses either make money or quietly fail.

Materials markup in the trades
- Materials markup of 50% to 100% is standard, giving margins of 33% to 50%. It compensates for sourcing time, stocking, delivery, warranty and the cost of holding van inventory.
- Equipment — furnaces, water heaters, condensers — carries lower markup, typically 25% to 50%, because the dollar values are large and customers can price-shop them online.
- Consumables (fittings, solder, tape, sealant) are usually recovered through a materials charge or built into the flat rate rather than itemised. Itemising $3 fittings generates disputes worth more than the margin.
- Do not itemise a marked-up parts list on a flat-rate invoice. Flat rate prices the outcome; showing the parts breakdown invites the customer to price the parts themselves and object.
- Track material cost as a percentage of revenue by job type. Drift in that figure is the earliest warning that your flat-rate book has fallen behind supplier prices.
Updating the price book
A flat-rate book is a perishable asset. Equipment and material costs move continuously, wages move annually, and a book left unrevised quietly converts profitable tasks into unprofitable ones.
- Review at least twice a year, and immediately after any significant supplier increase.
- Recalculate your overhead recovery rate whenever revenue or headcount changes materially.
- Audit actual time against booked time on a sample of jobs each quarter. Tasks that consistently overrun are mispriced, not badly executed.
- Price diagnostics separately and charge for them. Free diagnostics turn skilled labour into a marketing cost.
- Set after-hours and emergency rates as a defined multiple rather than case by case, so the premium is consistent and defensible.
